Role Overview

The Warehouse and Inventory Coordinator will coordinate activities in the Vytelle warehouse and distribution center including but not limited to tracking purchases, managing receipts, and staging shipments, and assists with maintaining supplies, ensuring product integrity and organization. Assists with quality control activities and collaborates with teams from different departments to ensure optimum inventory levels are always maintained. The Warehouse and Inventory Coordinator is responsible for collecting and entering data and maintaining accurate inventory records in the MRP system to ensure stability of Vytelle’s ADVANCE IVF operations.

Responsibilities

Purchase Orders

  • Receiving in all Purchase Orders in Business Central and manually allocating the items to inventory

Transfer Orders

  • Carefully issue all transfer orders with the correct item descriptions and supporting variables (Quantity, Item Code, Lab location etc.)

Sales Orders

  • Responsible for packing and shipping all Sales Orders while working with Purchasing to ensure detail accuracy in Business Central

Finance Cross Functional Demands

  • This position will require frequent collaboration with the Finance department. As an essential stakeholder in the procure to pay structure, Finance is directly affected by most supply chain decisions and this role will be crucial in maintaining a collaborative relationship to develop SOPs or additional improvements to the procure to pay structure.

Inventory Counts

  • Responsible for hard counts each month and maintenance of inventory accuracy regarding POs coming in and TOs/SOs going out. Must also receive inventory counts from the labs and ensure they are formatted according to the SOP. This position is also responsible for the subsequent red flag protocol and must communicate to ops coordinators, their managers or any other department that is working with Supply Chain all discrepancies to adhere to the SOPs and reduce mistakes

Media

  • Must work with the Media team and international labs management to carefully pack and annotate in Business Central what is being shipped whilst maintaining appropriate description details to avoid over-sharing of information

Lot Tracking

  • Must attach the appropriate lots to each PO (Purchase Order) as it is received, attach the appropriate lots to SOs and TOs as they ship out, and learn the item tracing features in Business Central so that at any point we can look to see where any lot has been sent globally

Lot Differentiation

  • Must maintain color coding of each lot in the warehouse and temp controlled storage to ensure each lot is housed independently from other lots that we have received. This is done so that there is no chance of mixing up lots and

Lot Expiration and Physical FIFO

  • Lot expirations must be properly noted in Business Central and a FIFO model BASED ON EXPIRATION must be maintained continuously in the warehouse. This means that if one lot is received with an expiration of May 2025 but following that, another lot of the same item has an expiration in April 2025, then the lot expiring earlier must be physically moved in the warehouse so that is leaves prior to the lot with a later expiration date

Warehouse Insight

  • This position will be expected to train and master the warehouse insight tools for scanning inventory into Dynamics via the scanner and printer tools provided

Manual Shipments

  • Shipping will require the ability to physically lift items up to 50lb, pack them carefully and in an organized manner on pallets, and to secure them in such a way that the probability of goods being damaged in transit is minimal. This also requires the use of FedEx, UPS, and DHL to schedule shipments, print shipping labels, and appropriately adhere them to the necessary items.

SOP Differentiation for Partner Labs

  • We have several partner labs throughout the world, many of which have their own SOPs for shipping and packing. The position must maintain a close rapport with the Partner Labs Relations Manager and be certain as to where they are shipping each partner lab order and how it should be packaged.

Materials Knowledge

  • There will be an expectation to become incredibly familiar with each item in the warehouse and how it applies in the lab or field so.

  • This person will be required to work with a number of different departments and will often times have pressure on them to get answers very quickly. Therefore, they must have patience, endurance, and a strong sense of urgency as well as attention to detail

Experience And Qualifications

  • Bachelor’s degree in Business, Administration, or related field
  • Strong PC skills including internet and Microsoft Office suite of products, specifically Word and Excel
  • Basic understanding of or ability to quickly learn company product codes and terminology, as well as the necessary features and care. Basic understanding of or ability to quickly learn policies and procedures associated with shipping and receiving in a distribution center environment
  • Good analytical skills and ability to make sound judgements relative to inventory
  • Two years of work experience in warehouse or shipping and receiving is preferred

Physical Requirements

Must be able to lift items as heavy as 50lb at times
