ROLE OVERVIEW

The Warehouse Assistant supports daily activities in the Vytelle warehouse, including receiving, organizing, and preparing materials for shipment. This role follows established procedures to ensure proper labeling, lot control, and inventory accuracy. Working under the supervision of the Purchasing and Shipping Coordinator, the Warehouse Assistant assists in maintaining supply availability for internal labs and partners and ensures the warehouse remains clean, organized, and compliant with company SOPs.

RESPONSIBILITIES

Warehouse Responsibilities

Working under the supervision of the Purchasing and Shipping Coordinator on:

  • Purchase Orders: Assist with receiving Purchase Orders and allocating items to inventory following FIFO and color-coding procedures.
  • Transfer Orders: Assist in preparing transfer orders under supervision, ensuring correct item descriptions (item code, lab location, etc.) and quantities in Business Central
  • Sale Orders: Assist in packing and shipping Sales Orders for partner labs as directed, ensuring details are accurate in Business Central. This position also supports partner lab shipments according to established SOPs and ensures that each shipment is packaged and labeled correctly.
  • Shipping: will require the ability to physically lift items up to 40lb, pack them carefully, and follow the SOP. This also requires the use of FedEx, UPS and DHL to schedule shipments, print shipping labels and move them to the pickup area.
  • Participate in warehouse organization and process improvement activities as assigned by lab operations.

Inventory Counts

  • Responsible for warehouse cycle counts each month and maintenance of inventory accuracy regarding POs coming in and Transfers Orders/Sales Orders going out.
  • Receive inventory counts from the national labs and ensure they are formatted according to the SOP.
  • Assist with Texas lab supplies, perform monthly inventory counts, maintain organized lab and OPU rooms, ensure essential items are stocked, and support lot-based inventory management as directed.

Lot Tracking

  • Support all inventory lots records, ensuring accurate attachment of lots to Purchase Orders (POs), Sales Orders (SOs), and Transfer Orders (TOs).
  • Differentiate and maintain lots in both the warehouse and Texas lab, ensuring proper segregation to prevent mix-ups. Maintain color-coding and proper storage of all lots.
  • Monitor lot expiration dates and enforce a physical FIFO system based on expiration, ensuring that lots with earlier expiration dates are shipped before those with later dates, as directed.
  • Communicate with national labs as directed regarding lots approaching expiration, ensuring timely usage or redistribution.

EXPERIENCE AND QUALIFICATIONS

  • High school diploma or equivalent required; post-secondary education in business or administration preferred.
  • Strong PC skills including Internet and Microsoft Office suite of products, specifically Word and Excel.
  • Basic understanding of/or ability to quickly learn company product codes and terminology, as well as the necessary features and care. Basic understanding of or ability to quickly learn policies and procedures associated with shipping and receiving in a distribution center environment.
  • Good analytical skills and ability to make sound judgements related to inventory.
  • Two years of work experience in the warehouse or shipping and receiving is preferred.

PHYSICAL DEMANDS

  • Must be able to lift items as heavy as 40 lbs. at a time.
